How to use the Mobile Inventory Counts.

Counts on Mobile begin by preparing the Count in Acctivate. After preparing your count, you're ready to begin entering the count on the mobile device.

Mobile Inventory Management is a mobile add-on module that allows for inventory counts to be performed for count sheets that have been prepared in the desktop version of Acctivate, but not yet posted. This enables the user to walk the warehouse and scan items as they go rather than writing the information down for someone else to enter later. 

Counting inventory begins on the desktop version of Acctivate, before the count can be performed on the mobile handheld module. To do so, follow the steps listed here. Skip the step for printing the count sheet since it will be entered on the device.

If you would like to do a blind count on the mobile devices, you can select the option in Configuration to do so. The option is found under the Mobile section of Configuration Manager. For more info about blind counts, check out this article.

This article has different steps depending on rather you're using Android or Windows. For Android keep reading. For Windows click here.

Android:

  1. Login to Acctivate on the Android device.
  2. Select the "Count" option
  3. Select the desired count sheet that you'd like to count.
    1. If no counts appear, verify that you've generated a count on desktop first!
The next steps will differ if not using locations or using locations. If you're not using locations, continue reading. If you are using locations click here.

If not using Multiple location Management:

  1. Your product list will appear
    1. You can begin to scan product barcodes to increment the counted quantity.
    2. If using combination lot and product AI barcodes you can scan them to automatically increment the product and lot quantity.
  2. If not using barcodes to count, click on the product in the list you'd like to count
    1. If standard control, simply enter in the counted quantity into "Qty / Ea" field and then click the back arrow.

    2. If lot or serial controlled, scan the text/AI lot barcode to increment the quantity or click on the lot/serial number and then enter in the counted quantity in the "Qty / Ea" field and then click the back arrow.

  3. Continue to count your product list. If you need to count a product not on the list, click on the add product button in the top right corner.

  4. Once you're finished counting, click on the check mark in the right hand corner to save the count. You will have the option to set all uncounted products to zero, simply click the slider to the right to do so.
  5. Click on the check mark to save the count.

Now you're ready to do a final review on desktop and post the count.

If using Multiple Location Management:

  1. Your location list will appear
    1. You can begin to scan a location barcode to immediately enter into the location you need to count.
  2. If not using barcodes to count, click on the location in the list you'd like to count
    1. If using Blind Counts, the location detail screen will be blank. You can either scan a Product or Product/Product & Lot AI barcode or manually add a product using the add product button in the top right corner.
  3. In the location detail screen, you can either scan a Product/Product & Lot AI barcode or manually select a product to enter the Product detail screen.
    1. If standard control, simply enter in the counted quantity into "Qty / Ea" field and then click the back arrow.

    2. If lot or serial controlled, scan the text/AI lot barcode to increment the quantity or click on the lot/serial number and then enter in the counted quantity in the "Qty / Ea" field and then click the back arrow.

  4. Once you're finished counting the location, click the back arrow to return to the count list. Location that have been counted will display a checkmark to the right of them:

  5. Continue to count your locations until you have counted them all. If you have products stocked in a blank location, you will find a blank location row at the bottom of the list.
  6. Once you're finished counting, click on the check mark in the right hand corner to save the count. You will have the option to set all uncounted products to zero, simply click the slider to the right to do so.
  7. Click on the check mark to save the count.

Now you're ready to do a final review on desktop and post the count.

Windows:

  1. Log into Acctivate on your Pocket PC. Enter your login information (i.e. Company, User ID, Password) and then click the OK button (green checkmark icon).
  2. The main menu will open with two options, select Inventory.

  3. From the next menu, select Count to begin receiving inventory.
  4. The count sheet prepared in the desktop version now appears in the Select a Sheet drop-down menu of the mobile handheld module.  If the count sheet is sequenced by the Product ID only, there is only one section to the count sheet.  If it is sequenced by Product class or Location, then multiple sections will appear on the count and each section must be opened individually.
  5. Click the Next button (blue right arrow icon) to select the count sheet.

  6. The Inventory Count session will open for the user to begin entering information.

  7. Scan, select, or enter the Product ID to add quantity for each product.
  8. To view product information including current inventory levels for a product, highlight (select) it and then click the Info button (circled, dark green 'i' icon).  To return to the previous screen click the Back arrow.
  9. If utilizing Bin Locations, scan or select the specific location (Loc) to pull up the products listed within.
  10. When you are done counting inventory, click the green check box in the top left-hand side.
  11. The Save Count Sheet screen will open. If there are any items without a quantity specified, you'll see a list of these uncounted lines with an option to set the quantities to zero.

  12. Click the green check box once you've reviewed any uncounted items and chosen whether to set them to zero. You will see Inventory count saved on the next screen.
  13. Click the green check box to complete the transaction.
  14. The newly saved count is available for review and posting.  Inventory does not update until the count sheet has been posted in the desktop version.
