How to Use Mobile Inventory Receiving Module

Acctivate mobile includes a Mobile Receiving module for quickly receiving incoming inventory to your warehouse. Check out this article for a how to with screenshots included.

Android Mobile

Receive a purchase order

  1. After logging into the app, click Receive on the main screen.
  2. If necessary, slide the From PO slider to the right.
  3. You can scan, type in the PO number, or use the magnifying glass to lookup and select the PO. Press the arrow in the upper right hand corner to open the PO.

  4. You will see the PO details. This screen will show the Product ID and the received quantity out of the total quantity to receive. Below the ProductID you will see the warehouse location (if using warehouse locations) that the product will be received into.

While on the "Line #1 of 5" (for example) screen, use the up or down arrows to move to the next or previous line. Use the back button in the upper left hand corner to return to the PO details screen.

      1. To receive a standard control product (not lot or serial numbered):
        1. Scan the product's barcode to increment the quantity by one or click on the product and use the device's touch screen to type in the Qty received.
        2. If you wish to receive inventory into a particular location, you can use the magnifying glass next to the Loc field to lookup and select a location. Or, you can scan a GS1-128 formatted location barcode containing a "99" application identifier.

      2. To receive a lot or serial control product:
        1. If the barcode you are scanning is a GS1-128 barcode encoded with the Product ID and Lot/Serial number, you can perform a single scan on this screen, which will add the lot and increment the received quantity.
        2. If your barcode that only contains the Product ID, scanning the barcode will open that order line (for example, Line #1 of 5). On this screen scan a lot/serial barcode:
          1.  Lot
      3. If you don't have a lot/serial barcode to scan, press the "#" button to open the Add/Edit Lot/Serial # screen and enter a lot/serial number. This screen allows you to enter the lot/serial #, lot/serial location, quantity Picked, lot/serial Expiration, view/edit the lot/serial Reference and Specification information.

          2. After entering a lot/serial number, click the devices back button or use the back arrow in the upper left hand corner to return to the previous screen.
            1. If you need to modify the lot details, simply tap on the lot line to open the lot interface again.

            2. To add another lot/serial number, click the "#" button again.
      4. To delete a selected lot, long press the lot/serial number on the "Line #1 of 5" screen until the Delete button appears.

On the screen with the PO details, click the checkmark in the upper right-hand corner to submit the inventory receipt. If the Automatically post inventory receipts configuration option is enabled, this screen will say "Post Receipts?" and the receipt will be posted. If the option is not enabled, then the screen will say "Save Receipts?" and the receipt session will be saved, but not posted. Before posting, you can choose to print Product Labels and/or the Put Away List for Inventory Receipts (Mobile Printing must be configured).

Receive without a purchase order

  1. After logging into the app, click Receive on the main screen.
  2. If necessary, slide the From PO slider to the left (so that the slider background is grey.)
  3. Choose a Warehouse from the list, then press the arrow in the upper right hand corner.

  4. The next screen will allow you to begin receiving, and the products will begin to populate below:
    1. Receive
      1. To receive a standard control product (not lot or serial numbered):
        1. Scan the product's barcode to increment the quantity by one or click on the product and use the device's touch screen to type in the Qty received.

On the screen with the receipt details, click the checkmark in the upper right hand corner to submit the inventory receipt. Windows Mobile

Mobile Inventory Receiving is a mobile add-on module that allows for inventory to be received directly from your Pocket PC, which tie into your main Acctivate system.

  1. Log into Acctivate on your Pocket PC using the same credentials as on the desktop version.
  2. The main menu will open with two options, select Inventory

    1. Mobile Inventory
  3. From the next menu, select Receive to begin receiving inventory

  4. In the next screen, you have 2 options:

    1. Mobile Inventory Receive Options
    2. PO# – Receive products related to a specific Purchase Order by scanning the PO Number or selecting from the lookup
    3. W/H – Receive directly into the Warehouse without a related Purchase Order by selecting a Warehouse from the list. As always, we recommend receiving based on a Purchase Order. This way the PO Invoice reconciles the posted receipt session. When receiving without one, someone will need to manually reconcile the Purchases account assigned to the warehouse.
  5. Click the right arrow after making your selection
  6. Depending on your Configuration settings and the option chosen in Step 4 above, you’ll see the following:
    1. PO#: All outstanding products listed on the PO will pull in when PO received in full by default chosen in Configuration Management > Mobile > Inventory Receipts. Edit what was actually received, if different than outstanding amount, in the Qty field.

Without that option checked in Configuration Management, the user will need to enter the items receive by scanning the barcode, selecting from the lookup, or manually entering the ID.

  1. W/H: Enter each product by scanning the barcode, selecting from the lookup, or manually entering ID. Specify the Qty received.
  2. Specify the Qty received, as well as any other fields depending on need or other purchased modules (Lot/Serial number and/or Bin Location).
  3. When all items are listed with the proper information, press the green check box on the top left hand side of the window to go to the next screen.
  4. The user has the option to Print Product Labels and/or Print Put-Away List from this window.

  5. Press the green check box when ready to Save Receipt (or post, based on option in Configuration Management > Mobile > Inventory Receipts > Automatically post inventory receipts)
  6. Afterwards, you’ll see a message similar to below based on the option to post or not

  7. If you are simply saving the Receipt Session, you can now open the session listed in the above window to verify the information. Post when ready from desktop.
